Email Integration
Connect your own email account so prospects hear from you, not from a generic Rentalot address. Rentalot works with Gmail, Microsoft 365, or any provider that supports SMTP.
Email integration requires the Starter plan or higher.
Connect your email
Open Integrations
Go to Settings > Integrations and scroll to the email section.
Pick your provider

| Gmail | Click Connect Gmail and sign in with your Google account. |
| Microsoft 365 | Click Connect Microsoft 365 and sign in with your Microsoft account. |
| Custom SMTP | Enter your SMTP Host, Port, Username, Password, Encryption, and From Email, then click Test & Connect. |
Check it’s active
The connected account shows Active for sending. If you connect more than one, choose which one Rentalot sends from with Use for sending.
Once connected, email you send through Rentalot comes from your address, and prospects reply straight to you.
What email lets you do
- Reply to prospect email from Conversations without leaving the dashboard
- Send booking links from a contact’s page (turn on Send booking link emails in Settings > Notifications)
- Email matching listings to prospects after pre-screening (turn on Email prospect matching properties in Settings > Notifications)
- Send nudges manually from a contact’s page
- Draft emails in the management chat, then review and send them
Draft an email with the assistant
- Open Chat and ask, for example: “Draft an email to John about the Oak St apartment.”
- The draft shows the recipient above the subject line. Edit the subject and body inline.
- Send it when you’re happy with it.
Coming soon: Auto-Send (letting the AI send emails without your review) and automatic follow-ups. The Auto-Send switch may appear under your connected account, but emails still wait for your review today.
Email in Conversations
Email threads appear in Conversations. You can:
- Read the full email content inline
- See who each thread is with and jump to their contact page
- Reply from the thread
- Open the original thread with Open in Gmail or Open in Outlook
Tips
- Connect the address prospects already know. Replies from a familiar name get answered.
- Connect email before you share your prospect link widely, so you can reply to new prospects from one place.
