Showings

A showing is a scheduled visit to a property. Prospects can book one through your scheduling link, or you can schedule one in seconds from the management chat. Every showing appears on your Events calendar.

Let prospects book a time

Give prospects a way to pick a time after they finish pre-screening:

  1. Go to Settings > Scheduling and paste your Scheduling URL (for example, a Google Calendar appointment schedule or Calendly link). Or connect Cal.com in Settings > Integrations.
  2. Prospects see your scheduling option after they complete pre-screening.
  3. To send the link to a specific prospect, turn on Send booking link emails in Settings > Notifications. Then use Send booking link on their contact page. This requires a connected email account.

Schedule a showing yourself

  1. Open Chat from the dashboard sidebar.
  2. Ask, for example: “Schedule a showing for Maria Lopez at 123 Oak St on Friday at 3pm.”
  3. Review the preview and confirm. The showing appears on Events, and on your calendar if one is connected.

You can reschedule or cancel the same way: “Move Maria’s showing to Saturday at 11am” or “Cancel the showing for 123 Oak St tomorrow.”

To see open times first, ask the assistant or type /availability.

View your showings

Open Events from the dashboard sidebar to see showings, calls, meetings, and inspections in a Week or Month view. Each event shows its status (Pending, Confirmed, Completed, or Cancelled). Events synced from a calendar include Open in Google Calendar or Open in Cal.com.

Calendar sync

Connect a calendar in Settings > Integrations (Starter plan or higher):

  • Google Calendar: two-way sync. Showings created in Rentalot appear on your calendar, and your calendar events block those times so Rentalot doesn’t double-book you.
  • Calendar for showings: once Google Calendar is connected, choose which calendar new showings go to. The default is your primary calendar.
  • Cal.com: sync Cal.com bookings with your showings calendar.

Availability rules

Set your limits in Settings > Scheduling:

  • Showing Duration: default length of a showing (30, 45, or 60 minutes)
  • Timezone and Working Hours: the days and hours you’re available
  • Buffer between showings: minimum gap between back-to-back showings (15, 30, or 60 minutes)
  • Max showings per day: cap on showings booked in one day (1–20, default 10)

Rentalot applies these limits when it suggests open times.

Keep your calendar up to date. Rentalot uses it to avoid conflicts when suggesting times.
